Canada issues 10 key tips to help immigration applicants avoid processing delays

The Canadian government has released updated guidance aimed at helping immigration applicants avoid unnecessary processing delays, application returns and refusals by ensuring that submissions are complete, accurate and comply with current requirements.

Immigration, Refugees and Citizenship Canada (IRCC) said that with millions of temporary and permanent residence applications processed each year, simple mistakes such as using outdated forms, submitting incomplete documents or failing to provide certified translations can significantly delay processing.

The immigration department urged applicants to carefully review all requirements before submitting their applications through its online portal.

Ten Steps to Avoid Delays

According to IRCC, applicants can improve their chances of timely processing by following these 10 key recommendations:

1. Use the Latest Application Forms

Applicants are advised to download forms directly from the official IRCC website before applying, as outdated versions may result in applications being returned.

2. Follow the Correct Document Checklist

Each immigration stream, including Express Entry, study permits, work permits and family sponsorship, has its own document checklist. Missing mandatory documents may render an application incomplete.

3. Complete Biometrics Promptly

Applicants who receive a Biometric Instruction Letter (BIL) should schedule and complete their biometrics appointment within the required timeframe, typically 30 days.

4. Submit Certified Translations

Documents that are not in English or French must be accompanied by certified translations, along with any required translator declarations.

5. Pay the Correct Fees

IRCC advised applicants to verify all applicable fees before submission, noting that incorrect or incomplete payments can delay processing.

6. Provide Complete Address and Travel History

Applicants should ensure there are no unexplained gaps in their residential, employment or travel history, as inconsistencies may trigger additional background checks.

7. Submit Adequate Proof of Funds

Where proof of financial support is required, applicants should provide official bank statements and supporting documents that demonstrate a consistent financial history rather than recent large deposits.

8. Complete Medical Examinations Where Applicable

For immigration categories requiring an Immigration Medical Examination (IME), applicants are encouraged to complete the medical assessment with an IRCC-approved panel physician before submitting their application where permitted.

9. Report Changes Promptly

Applicants should notify IRCC immediately of any significant changes after submission, including marriage, divorce, the birth of a child, changes in employment or other material updates.

10. Apply Online

The department said submitting applications through the IRCC online portal allows for faster communication, easier document uploads and quicker responses to requests for additional information.

Common Causes of Delays

IRCC noted that while applicants can reduce delays by submitting complete applications, some processing stages—such as security screening and background verification—may take additional time.

The department also warned that requests for missing documents or incomplete information can extend processing times, urging applicants to respond promptly to any requests from immigration officers.

IRCC advised applicants to maintain an active online account and ensure their contact details, including email addresses, remain up to date to avoid missing important notifications.

“Submitting a complete, accurate and truthful application from the outset is the most effective way to reduce unnecessary delays,” the department said, encouraging applicants to carefully review all supporting documents against the official checklist before filing their applications.
